O uso da Inteligência Artificial na produção de atas: relatório de estágio sobre a aplicação do Plaud Note no Secretariado Executivo

Abstract

Este relatório de estágio descreve o impacto da Inteligência Artificial (IA) generativa na rotina do Secretariado Executivo, focando especificamente na utilização da ferramenta Plaud Note para a produção de atas em uma instituição de ensino. O objetivo central foi avaliar como a automação da transcrição e síntese de reuniões otimiza o tempo do profissional e quais os desafios inerentes à fidedignidade dos dados gerados por máquinas. A metodologia adotada consistiu em um relato de experiência de cunho qualitativo, comparando o método tradicional de redação de atas com o fluxo de trabalho mediado pela IA. Os resultados demonstram uma redução expressiva no tempo de execução: reuniões de longa duração, que antes demandavam dois dias para finalização da ata, passaram a ser concluídas em poucas horas de revisão técnica. Contudo, constatou-se que a IA não garante neutralidade, apresentando erros de transcrição e "alucinações" que exigem intervenção humana. Conclui-se que o papel do Secretário Executivo transita da redação operacional para a curadoria crítica, reafirmando a importância do fator humano na validação da verdade institucional frente às inovações tecnológicas.

This internship report describes the impact of generative Artificial Intelligence (AI) on the routine of the Executive Secretariat, focusing specifically on the use of the Plaud Note tool for the production of meeting minutes in an educational institution. The main objective was to evaluate how the automation of transcription and synthesis of meetings optimizes the professional's time and what challenges are inherent to the reliability of data generated by machines. The methodology adopted consisted of a qualitative experience report, comparing the traditional method of writing minutes with the workflow mediated by AI. The results demonstrate a substantial reduction in execution time: long meetings, which previously required two days to finalize the minutes, were finished in a few hours of technical review. However, it was found that AI does not guarantee neutrality, presenting transcription errors and "hallucinations" that require mandatory human intervention. It is concluded that the role of the Executive Secretary moves from operational writing to critical curation, reaffirming the importance of the human factor in validating institutional truth in the face of technological innovations.
